Privacy Policy

Last updated

This privacy policy explains how Brand Matrix ("we", "us") handles your personal data when you visit www.brandmatrix.media, use our chat assistant, email us or book a call. We follow the EU General Data Protection Regulation (GDPR).

Who we are

Brand Matrix is the data controller for the personal data described here.

What data we collect

When you contact us or use our chat assistant, we may collect your name, email address, phone number, country and a description of your business or project, plus the content of your messages.

When you book a call, the booking is handled by Calendly, which collects your name, email address and any answers you give in the booking form.

When you browse our website, we and our analytics and advertising partners collect technical data, such as your IP address, browser and device type, pages visited and how you arrived at our site. This is collected through cookies and similar technologies (see below).

Cookies and tracking

When you first visit our website, we ask whether you accept cookies. Analytics and advertising cookies only load if you click "Accept". If you decline, they're never loaded, and the website works exactly the same.

With your consent, we use:

  • Google Analytics 4 (Google) to understand how visitors use the site, such as which pages are viewed and how people found us.
  • Meta Pixel (Meta Platforms) to measure the results of our ads on Facebook and Instagram. If you're logged in to Facebook or Instagram, Meta may link your visit to your account.

Always active, because the website needs them to work:

  • Your cookie choice, saved in your browser's local storage for 12 months so we don't ask on every page.
  • Our chat assistant, which loads from agent.brandmatrix.media and may store data in your browser so the conversation works.
  • Google Fonts (Google), which loads our website font. It doesn't set cookies, but your browser connects to Google's servers to download it.

Changing your mind: use the Cookie settings link at the bottom of every page to accept or decline at any time. If you withdraw consent, we delete the analytics and Pixel cookies set on our domain. You can also clear cookies in your browser settings.

Who we share your data with

We only share personal data with service providers who help us run our business, such as:

  • Vercel, which hosts our website and stores enquiries submitted through it
  • Google (Analytics, only with your consent, and Fonts)
  • Meta (Meta Pixel, only with your consent)
  • Calendly (call booking)
  • AI and automation providers that power our chat assistant and internal workflows

Some of these providers are based outside the European Economic Area, including in the United States. Where that happens, transfers are protected by appropriate safeguards, such as the EU-US Data Privacy Framework or the European Commission's Standard Contractual Clauses.

We never sell your personal data.

How long we keep your data

We keep enquiry and lead data for as long as needed to respond to you and follow up, and for no longer than two years after our last contact, unless you become a client. Client data is kept for as long as needed to deliver our services and meet legal requirements, such as the seven-year retention period for financial records in the Netherlands.

Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you
  • have incorrect data corrected
  • have your data deleted
  • restrict or object to how we use your data
  • receive your data in a portable format
  • withdraw your consent at any time, where we rely on consent

To use any of these rights, email bliss@brandmatrix.media. We'll respond within one month.

If you're unhappy with how we handle your data, you can complain to the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.

Security

We take reasonable technical and organisational measures to protect your data, including encrypted connections (HTTPS) and limited access to lead and client data.
